Set up pickup and return locations

Locations are the branches customers choose when they book. This covers adding one, the two switches that decide whether it shows as a pickup or return point, and where to add delivery or one-way fees.

A location is a branch or depot a customer can collect a vehicle from or return it to. You need at least one before a vehicle can be booked, because a booking has to have somewhere to start.

Before you start

Nothing needs to exist first. Adding locations is free.

If you know the exact latitude and longitude of the branch, have them handy: they are used for the fleet calendar and, if you ever turn on self-collection, for the geofence.

Where to find it

In the left sidebar, open Locations (under Assets), then click New.

Steps

  1. Under Details, enter the branch Name customers will see.
  2. Fill in the Address fields. Leave Country as New Zealand unless you operate elsewhere.
  3. Under Status, leave Active on.
  4. Under Delivery & one-way fees, leave Is pickup location on so it appears in the pickup list. Turn it off to hide it from the pickup list in the booking widget.
  5. Leave Is dropoff location on so it appears in the "Return to" list. Turn it off to hide it from returns.
  6. Set a distinct Calendar colour so this branch stands out on the fleet calendar.
  7. If you charge to deliver from here, set Pickup delivery fee (NZD, excl. GST). Leave it blank for free pickup.
  8. If you charge for one-way returns here, set Dropoff / one-way fee (NZD, excl. GST). Leave it blank for free dropoff.
  9. Add Pickup instructions and Return instructions if you want them shown to the customer.
  10. Click Create.

Delivery and one-way fees are entered excluding GST on this form, matching the label. Everything the customer is shown at checkout is GST inclusive.

What you should see when it worked

The location appears in the Locations list marked Active. When you add or edit a vehicle, you can now set its current and home location to this branch, and customers can choose it when booking.

If it did not work

  • My location is not offered at checkout. Check Is pickup location (and Is dropoff location for returns) are on, and that the location is Active. A location with both off is hidden from the widget on purpose.
  • A customer cannot pick a vehicle up here. The vehicle also has to be at, or projected to be at, this location on the dates chosen. See Make a vehicle bookable.
