Add your first vehicle

Adding a vehicle takes a minute once you have a vehicle group and a location to put it in. This walks through the required fields and the two that trip people up: the group (which you must create first) and the home location.

A vehicle is one physical car, van, bike or boat in your fleet. Each vehicle belongs to a group (the thing customers book) and lives at a location.

Before you start

Two things must already exist, or the form will not save:

It costs nothing to add vehicles. Your Glovebox plan is based on how many vehicles you run (your fleet band), so adding vehicles can move you into a higher band over time; you can see your band under Settings › Your Glovebox plan.

Where to find it

In the left sidebar, open Vehicles (under Assets), then click New.

Steps

  1. On the Identity tab, choose the Group this vehicle belongs to. This is required. Pricing and your booking-page cards are scoped to the group.
  2. Set Current location to where the vehicle is right now.
  3. Set Home location to the base this vehicle returns to when it is idle. Availability uses this to work out where the vehicle will be on a future date, so if it is wrong the vehicle can be offered at the wrong branch.
  4. Enter the Registration if your type of hire uses one (it is shown for cars and campervans; some hire types do not ask for it).
  5. Fill in make, model, year and colour as you wish.
  6. On the Pricing & hire terms tab, the daily rate comes from the group. You can override the per-vehicle rate and set included kilometres, bond and excess here if this vehicle differs from its group.
  7. On the Status & access tab, leave Status as Available so the vehicle can be hired.
  8. Click Create.

What you should see when it worked

The vehicle appears in the Vehicles list with a Readiness indicator and its group and location shown. If everything else is set up, it can now be booked.

If it did not work

  • Create does nothing and the group field is red. You must pick a group, and there is no option to create one here. Create a group first, then come back.
  • The vehicle saved but customers still cannot book it. Being Available is only one of several switches. Read Make a vehicle bookable, which names every control.
